Registration and Hotel Booking

Registration and participant list are managed by the CERN INDICO framework.
A CERN INDICO account is mandatory for registration and submission of abstracts. In case you do not have an account yet, please follow these steps:

  1. Create a CERN lightweight account using the CERN Website (https://account.cern.ch/account/Externals/RegisterAccount.aspx)
  2. Activate your account using the link in the mail you receive from the CERN account system
  3. Connect your new CERN account with the INDICO system by login at the INDICO page (https://indico.cern.ch)
  4. Register to EVC-15 using the link below

Final registration will be validated by the Conference Secretariat after full payment of the fees. If you need an invitation letter to apply for a visa, please read the instructions.

Registration is closed
You can still register for one or two single days at the desk, as from Sunday17th of June. We will not accept single day registrations for more than 2 days, but these 2 days can be freely chosen between Monday, June 18th and Friday, June 22nd.

Important note:
For your payment, either by bank tranfert or with credit card, please come back to this page after registration.

Booking of selected hotels was managed by our partner Symporg.

Registration fees

The registration fees for participants and students for the whole week include the access to all talks and poster sessions. Also included are the lunches and coffee breaks from Monday to Thursday, the Welcome Party on Sunday evening, the visit to CERN on Thursday afternoon and the Conference Dinner on Thursday evening.

The registration fees for single day participants include the access to all talks and poster sessions for the chosen day. Also included are the lunch and coffee breaks for Monday, Tuesday or Wednesday, the coffee breaks for Thursday or Friday. The visit to CERN on Thursday afternoon and the Conference Dinner on Thursday evening are not included and cannot be booked separately.

The registration fees for companions include the Welcome Party on Sunday evening, the visit to CERN on Thursday afternoon and the Conference Dinner on Thursday evening.

Note that the registration fees do not include accomodation in Geneva.

The exhibition area is accessible by anyone during the opening hours of the International Conference Centre. The exhibition will be open from Monday noon to Wednesday 4pm.

Participants for the whole week

  • If paid before May 4, 2018: CHF 650
  • If paid from May 4 to June 3, 2018: CHF 850
  • If paid after June 3, 2018 or at the conference desk: CHF 980

Students

  • Students: CHF 300

Day Pass

  • Monday, Tuesday or Wednesday, per day: CHF 300
  • Thursday or Friday, per day: CHF 200

Companions

  • Companion Program: CHF 200

Cancellation of registration:

In case of cancellation of a registration, all or part of the fees will be reimbursed under following conditions:

  • 100% will be reimbursed if cancellation is notified before February 28, 2018;
  • 50% will be reimbursed if cancellation is notified before May 20, 2018;
  • No reimbursement will be made if cancellation is notified after May 20, 2018.

All refunds requests must be in writing by mail to the Conference Secretary (conference@evc15.org) as soon as possible.
In case of "no-show" at the Conference, no claims for reimbursement will be accepted

Withdrawal of contributions should be announced as soon as possible to the Scientific Committee (scientific@evc15.org). There are no financial aspects associated with contributions, but contributors must have registered and paid their fees to be allowed to present their work.
